Agreement to Terms

• These Terms and Conditions govern your booking with The Retreat - Zawiyat Al Hijaz.

• By booking with us, you agree on behalf of yourself and all named participants to these terms.

• By confirming your booking, you acknowledge that you have read, understood, and accepted these terms and conditions.

Deposit & Payment

• A non-refundable/ non transferable deposit is required per person along with a completed online booking form to secure your reservation for any advertised event and date.

• Your booking is considered confirmed only when The Retreat - Zawiyat Al Hijaz receives the deposit payment and sends a confirmation email.

• The Retreat - Zawiyat al Hijaz strictly doesn't reserve seats without a deposit. First come first serve.

• Deposits can be made using major credit cards, wire transfers, revolut or Apple Pay. any payment links issued from our end will have a processing fee added to the advertised amount.

• Any processing fees and currency exchange fees are the participant’s responsibility.

• Bookings made more than 31 days before the event start date can be secured with a deposit, with the full balance due 30 days before the event begins.

• Failure to submit the remaining balance by the due date may result in cancellation of your booking and forfeiture of your deposit/ fees.

• All payments are non-refundable and non-transferable, whenever a cancellation is made, except as set out under" “Retreat Cancelled by The Retreat-Zawiyat al Hijaz” below. Payments are committed to hotels, transport, guides and other suppliers as they are received.

• All prices quoted are time-sensitive and subject to change. If payment is not made within the quoted validity period or 30 days before the retreat, any increase in price will be the responsibility of the participant, not the organizer. Pricing is only confirmed once payment is received.

Refund & Cancellation Policy

• If you cancel, all payments made are non-refundable, whether you cancel more or less than 30 days before the retreat begins. Cancellations must be made in writing to info@theretreat.love.

• If you cancel in writing at least 60 days before the retreat begins, The Retreat may, at its discretion, offer a credit for an amount paid (excluding the deposit and excluding any non refundable funds from third party vendors) towards a retreat starting within 12 months. Credits depend on availability, are non-refundable, can be used once, and cannot be exchanged for cash. Any difference in price is your responsibility.

• All payments made toward your booking are non-refundable. If you leave the retreat early for any reason, no refund is given for unused services.

Travel Advisories and Flight Disruption

• The retreat will go ahead as long as the Saudi authorities permit Umrah and Makkah and Madinah can be reached.
  A travel advisory from your home government, an airline cancelling or changing your flight, airspace restrictions affecting your route, or your insurer declining cover does not count as cancellation by The Retreat. Foreign government advisories do not oblige our Saudi suppliers to make refunds, so in these cases the standard cancellation terms above apply.
  Where possible, The Retreat will help by suggesting alternatives, such as a different arrival or departure airport, an adjusted transfer, or a changed itinerary. Any extra flight or travel cost is your responsibility.

• You are responsible for checking the travel advice of your own government and for deciding whether to hold suitable travel insurance (see Travel Insurance).

Retreat Cancelled by The Retreat

• Refunds depend on our suppliers. Hotels, transport and other Saudi suppliers return payments only when the Saudi government declares an official crisis, issues a national warning, or orders a suspension that requires them to do so.
  If The Retreat cancels a retreat because of such an official Saudi government declaration, or because Umrah is suspended or entry to the Kingdom is closed, The Retreat will either:
  (a) offer a credit for the amount you paid, valid for 12 months towards any retreat run by The Retreat; or
  (b) refund the amounts The Retreat actually recovers from its suppliers.
  The choice between (a) and (b) is at The Retreat’s discretion. Where suppliers do not return payments, no refund is due. The deposit is non-refundable unless it is recovered from suppliers. The Retreat is not obliged to provide a breakdown of supplier payments or costs.
  The Retreat is not responsible for flights, visas or other costs you arranged yourself.

Liability & Responsibilities

• The Retreat - Zawiyat Al Hijaz, its hosts, and retreat property owners are not responsible for loss, damage, or accidents incurred during the event or travel.

• Participants may be expelled from the retreat without refund for:

  • Disrespecting fellow guests, hosts, retreat property owners, service providers, or the Saudi Monarch.

  • Participating in protests, political demonstrations, or displaying political statements that endanger the group.

  • Disclosing the itinerary or retreat locations to unauthorized persons, thereby compromising participant safety.

• If removed from the retreat, you will bear the costs of lodging, meals, and return transportation.

• The Retreat reserves the right to refuse service or remove any participant who does not comply with the retreat’s terms and conditions.

• Any costs incurred due to misconduct, violation of local laws, or negligence will be solely the responsibility of the participant.
  Travel & Transportation

• The Retreat - Zawiyat Al Hijaz does not own or operate transportation, hotels, or other service providers and is not liable for their actions.

• Participants are responsible for their travel documents. Zawiyat al Hijaz will not be held responsible for denying entry to the kingdom and in case of such event, the participant is not entitled to any refund.

• Airport pick-up and drop-off are only available on the official retreat start and end dates at certain times.

• Airport Transfers. Group airport transfers are included on the first and last day of the retreat only, at set times. The pick-up and drop-off airports and times for each retreat are confirmed previous to the starting date. Guests must send their flight details to The Retreat by the date requested, and should book flights that land within the pick-up window and leave after the drop-off time.

• Travel Outside Transfer Times. Guests who arrive or leave outside the set transfer times, fly into or out of a different airport, arrive early or stay longer, or miss the group transfer for any reason (including flight delays) must arrange and pay for their own transport to and from the hotel. The Retreat can suggest options but is not responsible for the cost, delays or missed connections, and no refund is given for unused transfers.

• Any personal transportation or accommodation arranged outside the retreat schedule is solely the participant’s responsibility and non-refundable.

• If using trains, and your ticket is issued, there will be no change requests. You will be responsible for your own changes. 

Attendance & Participation

• If you miss any classes or activities, you will not be entitled to a refund or a make-up sessions.

• Any activities, transport, or accommodations scheduled by you outside of the retreat schedule will be your own responsibility.

Healthcare & Medical Responsibility

• Participants holding an Umrah visa issued by us are eligible for free healthcare at select hospitals.

• The Retreat - Zawiyat Al Hijaz is not responsible for medical costs incurred, whether at designated hospitals or private facilities.

Travel Insurance

• Travel insurance is optional but strongly recommended. We recommend holding insurance from the date of booking that covers cancellation, curtailment, missed departure and travel disruption, in addition to medical cover. If you choose not to hold insurance, you accept any losses that insurance would have covered.

• The healthcare provided with the Umrah visa covers medical treatment only. It does not cover cancellation or travel disruption. The Retreat is not responsible for any loss that insurance would have covered.

Itinerary & Program Modifications

• The Retreat - Zawiyat Al Hijaz reserves the right to modify or cancel itineraries and programs due to unforeseen circumstances.

• If a Saudi government-imposed travel ban or a suspension of Umrah means the retreat cannot take place, the section “Retreat Cancelled by The Retreat” applies.

• The Retreat - Zawiyat Al Hijaz is not responsible for any unforeseen incidents, delays, or interruptions caused by external factors beyond our control.

• The advertised itinerary is indicative and may be modified due to seasonal factors, service availability, or operational requirements. The Retreat reserves the right to make reasonable changes to the itinerary where necessary.

• The Retreat may change arrival or departure airports, cities, hotels, transport or routes for safety or operational reasons, including in response to government advice. These changes do not count as cancellation and do not give a right to a refund.

Privacy & Use of Personal Information

• The Retreat - Zawiyat Al Hijaz respects your privacy and will only use personal information for administrative and service-related purposes.

• By registering for the retreat, you consent to receive communications from The Retreat - Zawiyat Al Hijaz. You may unsubscribe at any time.

Photography & Media Consent

• By attending the retreat, you grant The Retreat - Zawiyat Al Hijaz & Naila Althagafi permission to use photographs and video footage for promotional purposes.

• For participants under 18, photos and videos are used only with the separate permission of their parent or guardian.

Additional Terms & Conditions

• Your Rawda visit will be scheduled at the time of the retreat and cannot be rescheduled.

• Changing rooms is based on availability, room type changes are not permitted 45 days before the retreat. 

•  Room upgrades are the participant’s responsibility.

• Hotel room allocations, including bed sizes, bed configurations, and room sizes, are determined solely by the hotel and cannot be guaranteed by The Retreat. Participants booking triple or quad rooms will receive a bed in that category; however, rooms may include mixed bed sizes or smaller rooms depending on hotel assignment. The Retreat is not responsible for any variations, and all requests for changes or upgrades must be handled directly with the hotel. 

• Package price and offers are as advertised; no adjustments, inclusions, or exclusions are allowed.

• No discounts are available after the presale or early bird price periods or beyond what is officially offered during specific dates.

• If you opt out of the Umrah visa provided through our sister company, you are responsible for any necessary health or travel insurance as we will not be responsible for issuing it.

• If you opt for a shared room, you are expected to respect your roommate’s privacy and comfort.

Governing Law and Disputes

• These terms are governed by the laws of the Kingdom of Saudi Arabia.
  If a dispute arises, please contact us first at info@theretreat.love so we can try to resolve it within 30 days. If it is not resolved, it will be settled by the courts of Makkah, or by arbitration under the rules of the Saudi Center for Commercial Arbitration (SCCA) if both parties agree.
