Agreement to Terms
These Terms and Conditions govern your booking with The Retreat - Zawiyat Al Hijaz.
By booking with us, you agree on behalf of yourself and all named participants to these terms.
By confirming your booking, you acknowledge that you have read, understood, and accepted these terms and conditions.
Deposit & Payment
A non-refundable/ non transferable deposit is required per person along with a completed online booking form to secure your reservation for any advertised event and date.
Your booking is considered confirmed only when The Retreat - Zawiyat Al Hijaz receives the deposit payment and sends a confirmation email.
Deposits can be made using major credit cards, wire transfers, or Apple Pay.
Any processing fees and currency exchange fees are the participant’s responsibility.
Bookings made more than 31 days before the event start date can be secured with a deposit, with the full balance due 30 days before the event begins.
Failure to submit the remaining balance by the due date may result in cancellation of your booking and forfeiture of your deposit.
Payments received on our end are non refundable non transferable as we pay service providers right away.
Refund & Cancellation Policy
Cancellations made within 30 days or less of the event start date are non-refundable due to the financial commitments made to vendors and service providers.
If you are unable to attend and provide at least 60 days' notice, your payment (excluding the deposit paid to vendors) “may” be transferred to a future retreat within one calendar year, however this is not guaranteed and subject to availability.
Any difference in pricing for a future retreat is the participant’s responsibility.
All payments made toward your booking are non-refundable but may be transferable under the specified conditions.
Liability & Responsibilities
The Retreat - Zawiyat Al Hijaz, its hosts, and retreat property owners are not responsible for loss, damage, or accidents incurred during the event or travel.
Participants may be expelled from the retreat without refund for:
Disrespecting fellow guests, hosts, retreat property owners, service providers, or the Saudi Monarch.
Participating in protests, political demonstrations, or displaying political statements that endanger the group.
Disclosing the itinerary or retreat locations to unauthorized persons, thereby compromising participant safety.
If removed from the retreat, you will bear the costs of lodging, meals, and return transportation.
The Retreat reserves the right to refuse service or remove any participant who does not comply with the retreat’s terms and conditions.
Any costs incurred due to misconduct, violation of local laws, or negligence will be solely the responsibility of the participant.
Travel & Transportation
The Retreat - Zawiyat Al Hijaz does not own or operate transportation, hotels, or other service providers and is not liable for their actions.
Participants are responsible for their travel documents. Zawiyat al Hijaz will not be held responsible for denying entry to the kingdom and in case of such event, the participant is not be entitled to any refund.
Airport pick-up and drop-off are only available on the official retreat start and end dates at certain times.
If arriving outside of designated pick-up times, participants must arrange their own transportation.
Any personal transportation or accommodation arranged outside the retreat schedule is solely the participant’s responsibility and non-refundable.
If using trains, and your ticket is issued, there will be no change requests. You will be responsible for your own changes.
Attendance & Participation
If you miss any classes or activities, you will not be entitled to a refund or a make-up sessions.
Any activities, transport, or accommodations scheduled by you outside of the retreat schedule will be your own responsibility.
Healthcare & Medical Responsibility
Participants holding an Umrah visa issued by us are eligible for free healthcare at select hospitals.
The Retreat - Zawiyat Al Hijaz is not responsible for medical costs incurred, whether at designated hospitals or private facilities.
Itinerary & Program Modifications
The Retreat - Zawiyat Al Hijaz reserves the right to modify or cancel itineraries and programs due to unforeseen circumstances.
In the event of a government-imposed travel ban (e.g., due to COVID-19), retreat dates may or may not be rescheduled, and funds may or may not be transferred to a future retreat ( excluding non refundable funds paid to venders.
The Retreat - Zawiyat Al Hijaz is not responsible for any unforeseen incidents, delays, or interruptions caused by external factors beyond our control.
Privacy & Use of Personal Information
The Retreat - Zawiyat Al Hijaz respects your privacy and will only use personal information for administrative and service-related purposes.
By registering for the retreat, you consent to receive communications from The Retreat - Zawiyat Al Hijaz. You may unsubscribe at any time.
Photography & Media Consent
By attending the retreat, you grant The Retreat - Zawiyat Al Hijaz & Naila Althagafi permission to use photographs and video footage for promotional purposes.
Additional Terms & Conditions
Your Rawda visit will be scheduled at the time of the retreat and cannot be rescheduled.
Changing rooms is based on availability, room type changes are not permitted 45 days before the retreat.
Room upgrades are the participant’s responsibility.
Package price and offers are as advertised; no adjustments, inclusions, or exclusions are allowed.
No discounts are available after the presale or early bird price periods or beyond what is officially offered during specific dates..
If using a visa other than our provided Umrah visa, you are responsible for any necessary health or travel insurance.
If you opt for a shared room, you are expected to respect your roommate's privacy and comfort.
